Return, Refund & Replacement Policy

Website: Thedenmed.com

Applies To: International Orders

1. Introduction

At The Denmed, we are committed to supplying genuine dental products, instruments, equipment, and consumables to dental professionals, clinics, laboratories, distributors, and other eligible customers worldwide.

We understand the importance of product quality, authenticity, packaging integrity, and safe handling in the dental industry. Our Return, Refund & Replacement Policy establishes a transparent process for resolving issues relating to damaged deliveries, incorrect products, manufacturing defects, and eligible customer returns.

This policy applies to purchases made directly through Thedenmed.com, subject to the terms applicable to the order and any mandatory consumer protection laws in the customer’s country.

Important: Nothing in this policy limits any non-waivable statutory rights available to customers under applicable law.

2. Return Eligibility

Customers may request a return or replacement if an order meets one or more of the following conditions:

* The product received is incorrect or materially different from the product ordered.

* The product arrives damaged during transportation.

* The product is defective or demonstrably non-functional upon receipt.

* The shipment contains missing items or an incorrect quantity.

* The product has a verified manufacturing defect covered by the manufacturer’s warranty or applicable law.

* The customer requests a return for another reason, provided the product and order qualify under the applicable return conditions and destination-country law.

All return requests are subject to verification, product eligibility, applicable regulatory requirements, and the terms of the original order.

3. Return Request Period

Customers should submit a return or replacement request within the following timeframes:

Reason for request Recommended reporting period
Incorrect product received Within 10 calendar days of delivery
Product damaged in transit Within 48 hours of delivery, where reasonably possible
Missing items or quantity discrepancies Within 10 calendar days of delivery
Product defect or malfunction Within 10 calendar days for initial assessment, or within the applicable warranty period
Eligible change-of-mind return Within 10 calendar days of delivery, subject to product eligibility and applicable law

The reporting periods above are the standard administrative windows requested by The Denmed. They do not eliminate statutory return, warranty, repair, replacement, or refund rights that may apply for longer periods.

Customers should contact our support team promptly if a problem is discovered after the stated reporting period.

4. Conditions for Accepting Returns

To qualify for a voluntary return, unless the product is defective, incorrectly supplied, damaged, or otherwise covered by mandatory law, the product must generally satisfy the following conditions:

1. The product is unused, uninstalled, unaltered, and in resalable condition.

2. The original manufacturer packaging is intact and undamaged.

3. All accessories, manuals, components, labels, and included items are present.

4. Any security seal, sterile barrier, tamper-evident seal, or hygiene seal remains intact.

5. The product is accompanied by the order number, invoice, and any other reasonable proof of purchase.

6. The product has been stored and handled in accordance with the manufacturer’s instructions.

The Denmed reserves the right to inspect returned products before authorizing a refund, replacement, or other remedy, subject to applicable law.

Products must not be shipped back without return authorization, except where applicable law provides otherwise or a different procedure has been agreed with customer support.

5. Non-Returnable and Restricted Products

Certain dental products cannot ordinarily be accepted for change-of-mind returns because opening, use, storage conditions, contamination risks, regulatory restrictions, or loss of packaging integrity may affect their safety, authenticity, or resaleability.

Subject to mandatory legal rights, the following products are generally excluded from voluntary returns:

5.1 Opened or Used Dental Products

* Used dental instruments and clinical equipment.

* Opened restorative materials, bonding agents, cements, composites, and impression materials.

* Opened or used dental burs, rotary files, endodontic instruments, and similar consumables.

* Products showing evidence of clinical use, contamination, alteration, or improper handling.

5.2 Sterile and Hygiene-Sensitive Products

* Products supplied in sterile packaging where the sterile barrier has been opened, damaged, or compromised.

* Single-use dental products once opened or used.

* Products supplied with tamper-evident or hygiene seals where those seals have been broken, except where the law requires a remedy.

5.3 Temperature-Sensitive and Regulated Products

* Products requiring controlled storage or temperature-sensitive transportation where safe handling after delivery cannot be verified.

* Products subject to special regulatory, import, export, or disposal restrictions that prevent lawful resale or return.

* Products that have expired after delivery because of customer storage, handling, or delay in reporting an issue, where applicable law permits exclusion.

5.4 Special-Order Products

* Custom-made, personalized, specially manufactured, or special-order products that cannot ordinarily be resold, where permitted by law.

* Products specifically procured at the customer’s request and identified as non-cancellable or non-returnable before purchase, where such restrictions are lawful.

Important exception: These exclusions do not automatically apply to defective, damaged, incorrectly supplied, misdescribed, or otherwise legally non-conforming products. The Denmed will assess such cases in accordance with applicable law and the circumstances of the claim.

6. Damaged, Defective, or Incorrect Products

If an order arrives damaged, defective, incomplete, or incorrect, customers should contact The Denmed as soon as possible.

Please provide:

* Order number and invoice details.

* Clear photographs of the product and its packaging.

* Photographs of any shipping damage and the outer shipping carton.

* Courier tracking details, if available.

* A brief description of the issue.

* Batch number, serial number, expiry date, or product identification details, where applicable.

Where a defect is suspected, customers should stop using the affected product and retain its packaging until the claim has been assessed.

Our team may request additional information or arrange an inspection to determine the appropriate remedy.

Depending on the circumstances, applicable law, and product availability, the resolution may include:

* Replacement of the affected product.

* Refund of the affected product’s purchase price.

* Repair or another appropriate remedy where applicable.

* A partial refund for an affected portion of an order, where appropriate and lawful.

For verified errors attributable to The Denmed, reasonable return shipping costs will be addressed in accordance with this policy and applicable law.

7. International and Cross-Border Returns

The Denmed serves customers across international markets. Cross-border returns may involve additional shipping, customs documentation, import restrictions, export procedures, and clearance requirements.

Before returning an international order, customers must obtain return instructions from our support team.

7.1 Return Authorization

Once a request has been reviewed, eligible customers will receive instructions identifying the approved return destination and any required documentation.

The return address may differ from the original dispatch address. Customers must use the address specifically provided for their authorized return.

7.2 International Shipping

Unless otherwise required by applicable law or agreed in writing:

* For eligible change-of-mind returns, the customer is responsible for return shipping, insurance, tracking, and applicable return-related charges.

* For verified incorrect, damaged, or defective products attributable to The Denmed, reasonable return shipping costs will be covered or reimbursed as agreed with the customer.

* Customers should use a trackable shipping service and retain proof of dispatch.

* Customers must package the goods securely and comply with the carrier’s requirements for shipping dental and medical products.

The Denmed is not responsible for delays caused by customs authorities, courier networks, import inspections, or other circumstances outside its reasonable control. This does not affect any mandatory rights the customer may have.

7.3 Customs Duties and Taxes

International returns may be subject to export documentation, import declarations, duties, taxes, brokerage fees, and other charges.

Customers must follow the return instructions provided by The Denmed and the relevant carrier. Where available and applicable, return shipments should be declared accurately as returned goods rather than new commercial sales.

Customers must not under-declare the value of goods or misrepresent the shipment contents.

For a voluntary change-of-mind return, the customer is generally responsible for return-related customs charges and fees, subject to applicable law.

Where the return results from a verified error by The Denmed, we will review reasonable customs and shipping costs associated with resolving the issue. Any refund of original import duties or taxes paid to customs authorities may need to be requested separately from the relevant authority or customs broker.

7.4 Return Shipments Rejected by Customs

If a return shipment is rejected, detained, or destroyed because the customer failed to follow the provided shipping instructions or applicable customs requirements, the resulting costs may be the customer’s responsibility, to the extent permitted by law.

The Denmed will review the circumstances before determining the appropriate resolution. No statutory remedy is excluded by this provision.

8. Refund Policy

Once an authorized return is received and inspected, The Denmed will notify the customer of the outcome.

If the return is approved, the refund will generally be processed to the original payment method unless another method is legally required or mutually agreed.

8.1 Refund Processing Time

* Inspection: Normally within 3–5 business days after receipt of the returned product.

* Refund initiation: Normally within 5–10 business days after approval.

* Payment-provider processing: Additional time may be required depending on the bank, card issuer, payment gateway, currency, and country.

These are estimated processing times, not a restriction on any shorter statutory deadline.

8.2 Refund Amount

For an approved return, the refund will be calculated according to the applicable remedy and the original transaction.

Depending on the circumstances, it may include:

* The purchase price of the eligible product.

* Original shipping charges where required by law or applicable to the approved remedy.

* Approved return shipping costs.

* Other amounts required to be refunded under applicable law.

For partial returns, the refund will generally relate to the eligible items returned.

For voluntary change-of-mind returns, original shipping charges, customs duties, taxes, payment-processing charges, and other fees may be non-refundable where legally permitted and where the charges were disclosed appropriately.

Any deduction must be lawful, justified, and disclosed in accordance with applicable law.

8.3 Currency Conversion and Exchange Rates

International transactions may be processed in a currency different from the customer’s bank account currency.

Refunds are normally issued in the currency and amount permitted by the original transaction and payment provider. Exchange-rate differences, foreign transaction fees, and currency conversion charges imposed by a bank or payment provider may not be recoverable from The Denmed unless required by law.

8.4 Promotional Products and Bundles

Products purchased as part of a promotional bundle, discounted set, or special offer will be assessed using the original order terms.

Where only part of a bundle is returned, the refund may be calculated according to the original promotional pricing and any disclosed bundle conditions, subject to applicable law.

9. Replacement Policy

Where an eligible replacement is approved:

1. The affected product will be assessed.

2. Replacement availability and shipping arrangements will be confirmed.

3. The replacement will be dispatched after the required return or verification procedure has been completed, unless another arrangement is approved.

4. International delivery times will depend on the destination country, shipping service, customs clearance, and product availability.

If the original product is unavailable, The Denmed will contact the customer to discuss an appropriate alternative, refund, or other legally required remedy.

No substitute product will be shipped without the customer’s agreement where agreement is required.

10. Order Cancellation

Customers who wish to cancel an order should contact customer support as soon as possible.

Orders that have not been processed or dispatched may be eligible for cancellation, subject to applicable law and the order terms.

Once an order has been dispatched, the customer may need to follow the applicable return procedure. Special-order, custom-made, regulated, or temperature-sensitive products may be subject to lawful cancellation restrictions that were disclosed before purchase.

The Denmed will not use this provision to exclude any cancellation rights that apply under mandatory law.

11. Refused Deliveries and Undeliverable Shipments

Customers are responsible for providing a complete and accurate delivery address and the information reasonably required for customs clearance.

If a shipment is returned to the sender because of an incorrect address, failure to collect the package, refusal to pay disclosed import charges, or failure to provide required documentation, The Denmed will review the reason for the failed delivery.

Where permitted by law, reasonable and documented return shipping, storage, customs, or carrier charges may be deducted from a refund if they were caused by the customer’s actions or omissions and were not attributable to The Denmed or the carrier.

Where the failure results from our error or another circumstance for which we are responsible, the remedy will be assessed accordingly.

Customers should contact us before refusing a shipment so that we can help resolve any delivery or customs issue.

12. Warranty and Manufacturer Support

Some dental equipment and products are covered by manufacturer warranties.

Warranty coverage, duration, exclusions, service availability, and geographic restrictions may vary by manufacturer, product, and destination country.

Where applicable, customers may be required to provide proof of purchase, product serial numbers, batch details, or other information to obtain warranty support.

A manufacturer’s warranty is separate from any statutory consumer rights that apply to the sale. The Denmed will assist customers with warranty-related queries where reasonably possible.

13. Products Requiring Special Handling

Customers must not return hazardous, restricted, temperature-sensitive, sterile, or otherwise regulated dental products without first receiving instructions.

Certain products may require specialized packaging, approved carriers, safety documentation, temperature controls, or authorization under applicable shipping and regulatory rules.

If a product cannot lawfully be returned through ordinary shipping channels, The Denmed will review the available lawful options with the customer.

Customers must not send restricted or hazardous products through an unauthorized carrier.

14. Fraud Prevention and Return Verification

To protect customers and maintain the integrity of the dental supply chain, The Denmed may verify return requests against the original order and inspect returned products for:

* Product identity and quantity.

* Batch numbers, serial numbers, and manufacturer labels.

* Signs of use, alteration, substitution, or tampering.

* Packaging and seal integrity.

* Evidence relevant to a reported defect or shipping damage.

Where there is a reasonable concern regarding fraud, substitution, or misuse of the return process, additional verification may be requested.

Any refusal, deduction, or limitation will be assessed individually and applied only to the extent permitted by applicable law. A legitimate defect or statutory claim will not be rejected solely because additional verification is necessary.
